Blue Sky Vitality respects your privacy and handles your personal data with care. This Privacy Notice explains how your personal data are used in connection with our coaching services.

2. What personal data do we process and why?

We process only the personal data reasonably necessary to provide and administer the coaching services. Depending on your interaction with us, this may include:

  • your name and contact details, to communicate with you and schedule sessions;
  • coaching-related information, such as limited session notes, key takeaways, agreed action points and relevant correspondence, to provide the coaching services;
  • billing, payment and administrative information, to manage invoices, payments and our financial administration; and
  • other information where necessary to comply with legal obligations, protect our systems and services, or establish, exercise or defend legal claims.

Our legal bases for processing are, depending on the circumstances, the performance of our agreement with you, compliance with legal obligations, our legitimate interests in operating and protecting our business, and, where applicable, your consent.

3. Sensitive information

During coaching, you may choose to share information concerning your physical or mental health or other information that qualifies as special-category personal data under the GDPR.

Where we need to record or otherwise process special-category personal data and no other legal exception applies, we will ask for your explicit consent separately. You may withdraw that consent at any time. Withdrawal does not affect processing that lawfully took place before the withdrawal.

4. Who has access to your data?

Your personal data are not sold. We may use trusted service providers for activities such as:

  • secure email, videoconferencing and file storage;
  • appointment scheduling;
  • invoicing and bookkeeping; and
  • payment processing.

These may include providers such as Proton, Moneybird, Stripe and Wise, where applicable. We only share personal data where reasonably necessary for these purposes, where required by law, or where you have authorised us to do so.

5. How long do we keep your data?

We keep personal data only for as long as necessary.

As a general rule, coaching-related information is kept for up to 2 years after the coaching relationship ends, while financial records are generally kept for 7 years as required by Dutch law.

We may retain information longer where this is necessary to comply with a legal obligation or to establish, exercise or defend a legal claim.

6. Security

We use appropriate technical and organisational measures to protect personal data against loss, unauthorised access, disclosure or misuse.

7. Your rights

Subject to the conditions of applicable law, you may ask us to:

  • provide access to your personal data;
  • correct inaccurate information;
  • delete your personal data;
  • restrict the processing of your data;
  • provide certain data in a portable format; or
  • stop processing based on our legitimate interests.

Where processing is based on your consent, you may withdraw that consent at any time.
